The Opportunity

We are looking for a detail-oriented, tech-savvy Buying Desk Coordinator to join our team. Working alongside our procurement and Accounts Payable (AP) functions, you will play a critical role in ensuring our purchase orders (POs) flow seamlessly from initial request to final invoice.

  • Review, validate, and approve purchase requisitions coming through Omnea before converting them into Purchase Orders (POs) in Oracle Fusion.
  • Manage regional procurement workflows, understanding which countries require manual PO creation versus those handled automatically.
  • Act as a key filter for errors—spotting and correcting common issues (e.g., incorrect Ocado entities, invalid delivery dates/system default errors).
  • Liaise closely with internal Purchasing, Logistics, and Accounts Payable (AP) teams to resolve discrepancies upfront, ensuring smooth downstream invoice processing.
  • Perform periodic data maintenance and reconciliation between systems (Omnea and Oracle Fusion) to ensure database alignment.
  • Handle technical administrative tasks, including updating active vendor/supplier lists across platforms.
  • Provide high-quality, responsive customer service to internal stakeholders, procurement teams, and AP partners.
  • Serve as a reliable go-to point of contact for daily buying desk inquiries and operational support.

What You Bring to the Team

  • Proven experience in an administrative, data entry, or operational support role (entry-level to early career).
  • Possess a "critical eye" for catching small details, inconsistencies, or system errors before they become larger operational issues.
  • Comfortable working across multiple platforms; prior exposure to Oracle Fusion, Omnea, or similar ERP/procurement tools is a plus (training provided).
  • Clear, friendly communicator who enjoys helping colleagues and providing great internal service.
  • Able to manage routine administrative tasks alongside periodic technical data maintenance.
