Job Description

What you’ll do:

The Document Controller provides, documentation related, support for the Eaton project delivery team for large Projects.  The Document Controller must be flexible and able to manage urgent requests as required, while working with a wide variety of internal and external stakeholders.  This role is ideal for a motivated individual with an aptitude for problem-solving, learning, and organizing in a face paced environment..    

The Document Controller plays a pivotal role in processes, technology, and oversight to ensure documents are prepared, versioned appropriately and accessible to only those who need them.  The role requires an excellent communicator with superior organizational skills.  This role brings the opportunity to work in a collaborative and motivated team with various level of stakeholders across the UK Projects team

The role requires a confident, self-motivated and process driven individual who can work to tight deadlines while ensuring both internal and relevant costumer processes are followed without ever compromising  Eaton's ethical, safety, or quality standards.  
    
Engineering Documentation & process Request for Information (RFI) responsibilities include but not limited to:
• Liaises with Client / Contractor / Subcontractor. 
• Chase and align with Internal and Extrenal Stakeholders for information.
• Preparing and Maintaining all Document Registers, Technical Submittal and RFI Registers. 
• Raises new to be submitted RFI's.
• Processes new Technical Submittal Issues, prepares coversheet and upload documentation to each project specific documentation system.
• Checks compliance and quality of documents.
• Follow up on outstanding Technical Submittal status and outstanding RFI's.
• Reports on the progress of documents and RFI's."    
    
Operations and Maintenance (O&M) to include but not limited to:
• Create sections according to our submitted submittals and in alignment with client's request.
• Chase and align with Internal and Extrenal Stakeholders for information. 
• Monitor outstanding approval statuses. 
• Trouble shoot inconsistencies.  

Asset Registers (or Computerized Maintenance Management System (CMMS) responsibilities include but not limited to:
• Create & submit Asset Registers/CMMS in alignment with Serial Numbers, technical description and Client Documentation System information.  
    
Other general responsibilities include but not limited to:
• Maintain Master Doc Control Register to reflect new projects data for multiple Projects simultaneously. 
• Execute several Continues Improvement actions  - Folder structure related.
• Provide guidance for Project Managers on Documentation related questions.
• Upkeep of Project directories.
• Attend external Meetings O&M related. 
• Provide support on all reasonable documentation related request.
• Any other reasonably requested tasks to ensure the smooth running of all projects.  

Qualifications:

Bachelor degree or certified trainings in regards to project coordination

Skills:

Proven experience in delivering high quality documentation (e.g. Technical Submittals, Operation manuals) in a complex project management environment.
Proven experience to organize and preserve documents.
Ability to prioritize multiple projects and work independently as well as in a team environment.
Strong attention to detail while balancing various activities and competing demands.
Working electrical engineering knowledge desired.

Excellent (Advanced) working knowledge of Microsoft Office 365.
Multi-year experience and deep knowledge of documentation management tools such as Aconex, BIM360, Procore, 4P, CAD  etc.. would be seen as a Plus.

Detail oriented, proactive, accountable, structured, strong collaboration and interpersonal skills. 
Highly autonomus, comfortable and capable at communicating and working with a wide variety of stakeholders across departments.
