POSITION OVERVIEW
The Harris County Sheriff's Office is seeking qualified applicants for the Support Staff - Customer Service position in the Homicide Cold Case Unit. The Homicide Cold Case Unit Customer Service representative responsibilities include, but are not limited to, data entry, file maintenance, federal grant management, interacting with the public, and law enforcement personnel in a support capacity. Support personnel have access to confidential information. Additionally, under the general supervision of the Homicide Cold Case Unit Administrative Sergeant and Lieutenant, the Homicide Cold Case Unit Customer Service representative performs duties that include:
Duties and Responsibilities:
- Respond to inquiries from the public, law enforcement agencies, crime laboratories, the District Attorney’s Office, the County Attorney’s Office, and the Institute of Forensic Science.
- Maintain a filing system of memoranda, letters, documents, case files, spreadsheets, and other materials for the Cold Case Unit.
- Maintain the tracking of case files, tips, leads, and forms.
- Answer the telephone, take messages, provide information, maintain spreadsheets related to federal grants, and refer inquiries to the appropriate party.
- Type and distribute correspondence.
- Data entry and management on spreadsheets and the Cold Case website
- Prepare supplemental reports
- Perform criminal history searches
- Deliver and maintain subpoenas
- Correlate, enter, and maintain documents and data in a Microsoft SharePoint database, Microsoft Teams Channel, Office Inventory, and supply orders
- Maintain a calendar and visitor’s log.
- Comply with state and federal law, Harris County civil service, departmental, bureau, and division rules, regulations, and standard operating procedures
- Perform other assignments and duties as required or necessary.

MINIMUM REQUIREMENTS
This position is only open to current HCSO employees
For internal transfers, the salary rate is determined by the employee's current job classification as follows:
Classification change: Employees currently in a classification other than Customer Service (e.g., Records Specialist, Admin. Assistant, Detention Officer, etc.), if hired, starting salary is at the first step of the Customer Service Classification and will have a new rank date for step pay.
Lateral transfer: Employees currently employed in the Customer Service job classification in other Divisions, if hired, will maintain their current step pay and rank date.- High School Diploma or Equivalency.
- A minimum of one (1) year of paid work experience in an office environment performing clerical duties.
- Must have achieved a “20” or above on the latest employee evaluation attached to the application.
- Pass the pre-employment HCSO Clerical Skills Test with a minimum overall score of 75% and score a typing speed of 35 WPM with 85% accuracy
Knowledge of general office methods, procedures, and practices.- The use of Superion/RMS, SharePoint, FileOnQ, JWeb, computer software, and standard office software programs such as Adobe, MS Office, Word, Excel, PowerPoint, and Outlook.
- Analytical/critical thinking and problem-solving.
- Excellent communication skills – both written and oral.
- Report writing skills and excellent interpersonal skills.
- General office methods, procedures, and practices.
- Correct English, grammar, spelling, and punctuation.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment, such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
This role is sedentary; however, the ability to lift and carry up to 10 pounds is necessary to lift files or boxes of files, documents, etc.
Position Type and Typical Hours of Work
This is a full-time position. The schedule is typically Monday through Friday, from 10:00 AM to 6:00 PM or 8:00 AM to 4:00 PM. The hours may vary based on the business needs of the department. Ability to work overtime or varying duty hours as deemed necessary.
