What you’ll do:

The Document Controller is responsible for managing the flow of project documentation across multiple projects, ensuring all documents are correctly registered, submitted, tracked, and maintained in accordance with company and client requirements.
This role focuses on process coordination, document control accuracy, and system management, supporting project delivery teams in a structured and controlled documentation environment.

Document Control & Registers

  • Maintain and manage technical submittal and request for information registers using approved templates
  • Ensure all project documentation is accurately logged, version-controlled, and traceable
  • Track submission status, approvals, and outstanding actions
  • Provide regular reporting on documentation status

Technical Submittals & RFI Management

  • Process and submit technical documentation through project platforms (e.g. Autodesk Construction Cloud, BIM360)
  • Upload, distribute, and track documentation within client systems
  • Raise and manage requests for information in coordination with project teams
  • Follow up with internal and external stakeholders to ensure timely responses

Document Compliance (Non-Technical)

  • Review documentation for completeness, correct structure, and required attachments
  • Ensure compliance with naming conventions, format standards, and submission requirements
  • Maintain quality and consistency of documentation without performing technical validation

Stakeholder Coordination

  • Liaise with project managers, engineers, contractors, and client representatives
  • Support alignment of documentation processes across stakeholders
  • Actively follow up on outstanding submissions and approvals

Systems & Data Management

  • Manage documentation within recognised document management systems (e.g. Autodesk Construction Cloud, BIM360, SharePoint)
  • Apply defined folder structures, workflows, and access controls
  • Maintain structured and accessible project documentation repositories

Continuous Improvement

  • Contribute to improving document control processes, workflows, and folder structures
  • Support initiatives to enhance efficiency and standardisation

General Support

  • Provide documentation support to project teams
  • Support documentation-related queries and issue resolution
  • Participate in project and client meetings when required

Qualifications:

  • Bachelor degree or certified trainings in regards to project coordination
  • 3–5 years’ experience in Document Control or similar role

Skills:

•    Experience working in multi-project or construction / engineering environments
•    Strong organizational and coordination skills
•    Proficiency in document management systems (ACC, BIM360, or similar) 
Advantage, if has:
•    Experience in data centre or mission-critical projects 
•    Basic understanding of engineering systems (LV/MV, UPS, switchgear)

•    Attention to detail and data accuracy
•    Strong stakeholder coordination and follow-up
•    Structured and process-driven mindset
•    Ability to manage multiple projects simultaneously
•    Clear and professional communication skill
