The Role:

 

The Organisational Risk and Resilience Team is responsible for developing and implementing Uisce Éireann’s Organisational Risk Management, Policy and Framework and assisting the business in ensuring that appropriate risk management processes are in place to identify, measure, monitor and report their risk profile. The function ensures that an appropriate resilience (Crisis Management and Business Continuity) policy and framework designed, implemented and is operated across the organisation to minimise the impact of a business continuity or crisis management events.  The function will also support the development of the UÉ management systems model in line with ISO standards and including the provision of its core support processes (CAPA/Doc Control) 

 

The organisational risk team and resilience team are responsible for the design and implementation of the Organisations Risk and Resilience (Crisis Management / Business Continuity) Frameworks. This includes Organisational Wide Risk Reporting, ARC and Board Risk Reporting, Horizon Scanning, Completing Post Incident/Crisis Reviews, performing scenario testing and cross functional workshops, training and exercises, as well as the activation of Business Continuity & Recovery plans. The team also support live events like coordination of CMT & NECG / GTF membership and the function will also support the development of the UÉ management systems model in line with ISO standards and including the provision of its core support processes (CAPA/Doc Control) 

 

Reporting directly to Document Control Lead in the Resilience and Management Systems team, the Document Controller will be responsible for assisting in the management of the Uisce Éireann Document Control Process.

 

Main Duties and Responsibilities:

 

  • Day to day operations and maintenance of the Document Management System

  • Developing and managing the Uisce Éireann Document Framework, including document definitions and hierarchies

  • Establish, drive and monitor KPI’s associated with the Document Control process

  • Assist in the completion of Management Systems audits across Uisce Éireann

  • Proactively drive process improvement for the Document Control process

  • Investigate innovative ways to meet and exceed Uisce Éireann Documentation requirements

  • Implementing and reviewing the Document & Record Management process ensuring its compliance with standards and legislation

  • Support the Organisational Risk & Resilience function in all areas related to Document and Record Control

  • Manage all document revision programmes with the appropriate stakeholders

  • Support and guide document developers, reviewers and approvers, including staff, suppliers and contractors

  • Provide data and reporting on aspects of document management to relevant stakeholders within Uisce Éireann

  • Develop training material for staff in the use of the Document Management system

  • Actively promote the culture and benefits of Document Control throughout the business

  • Assist in the implementation and maintenance of the Uisce Éireann Document Control Systems where required

  • Participate in projects and various working groups as a subject matter expert where required 

  • Identify risks and escalate to Manager when necessary

  • Manage the procurement process for internationally sourced standards

 

General Duties and Responsibilities:

 

  • Collaborate with key internal stakeholders across the UÉ business, including but not limited to; Document Control Specialist, Organisational Risk & Resilience function

  • Responsible for promoting and delivering health and safety commitments across UÉ and its supply chain, reinforcing positive behaviours and delivering health and safety objectives and requirements to the highest industry standards. 

  • Support the delivery of the Uisce Éireann Transformation Programme, driving results required within the Directorate and supporting organisation-wide objectives.

  • Conducts duties and responsibilities in accordance with Uisce Éireann’s Information Security policies, standards, processes and controls to protect the confidentiality, integrity and availability of UÉ business information, and delivery of critical services, in accordance with the NIS Directive and any other relevant cybersecurity regulation.

  • Other duties as required.

 

Knowledge, Skills and Experience:

 

  • Relevant third level qualification and or accreditation is desirable and or relevant experience

  • A minimum of 3 years’ Experience in the water, utilities or similar industries is desirable

  • Experience in the area of people, change management and conflict resolution skills

  • Experience in encouraging teamwork and knowledge-sharing to enhance team performance. Evidence of motivating colleagues to achieve shared goals and improve outcomes

  • Strong analytical skills and ability to identify and analyse problems and make improvement decisions that benefit the team/communities.

  • Demonstrate adaptability and the ability to change focus and direction in line with business strategy and requirements

  • Ability to proactively identify new areas of improvement and implement new ways to do things.

  • Experience in taking ownership of safety responsibilities and contributing to continuous improvement initiatives
