About the job

Responsible for overseeing facility and site operations, ensuring the efficient management of maintenance, space utilization, site mobilizations, renovations, and workplace optimization. Manages vendors, contractors, and service agreements to ensure quality, cost-effectiveness, and compliance with project requirements. Ensures adherence to health, safety, environmental, and regulatory standards through inspections, risk assessments, and emergency preparedness initiatives. Coordinates with cross-functional teams, including HR, IT, Procurement, and QHSE, to support business operations and workplace projects while leading facility staff, controlling budgets, and implementing sustainable and cost-efficient practices across all facilities and sites.

Main Duties and Responsibilities

 

 Facility & Site Operations Management

  • Supervise daily facility operations, including maintenance, cleaning, and space utilization.
  • Plan and execute site mobilizations, including logistics, contractor coordination, and equipment setup for new or relocated facilities.
  • Conduct regular site visits and inspections to assess conditions, ensure compliance, and identify improvement opportunities.
  • Oversee on-site works (renovations, repairs, installations), ensuring timely completion with minimal business disruption.
  • Manage office moves, reconfigurations, and workspace optimization.

 Vendor & Contract Management

  • Source, negotiate with, and manage vendors (janitorial, construction, etc.).
  • Supervise contractors during site works, enforcing schedules, budgets, and safety protocols.
  • Ensure vendor SLAs are met, and contracts remain cost-effective.
  • Process invoices and track facility/site-related expenses.

 Health, Safety & Compliance

  • Ensure compliance with OSHA, fire codes, and environmental regulations across all facilities and sites.
  • Conduct safety inspections, risk assessments, and emergency drills.
  • Maintain permits, licenses, and compliance documentation.

 Team Leadership & Cross-Functional Coordination

  • Train and mentor junior facility staff.
  • Serve as primary contact for facility/site-related issues.
  • Collaborate with IT, HR, QHSE, Procurement and other departments on workplace projects.

 Sustainability & Cost Control

  • Implement energy-efficient and sustainable practices.
  • Monitor budgets and identify cost-saving opportunities.

 

Qualifications/Experience required

 

Education:

Bachelor’s degree in Facilities Management, Business Administration, Construction Management, or related field (preferred).

Experience:

2+ years in facility coordination and site operations, including vendor/contractor management.

experience in facility management, operations, or coordination roles, preferably in the construction, industrial, or rail sector.

Strong knowledge of facility operations, maintenance practices, and safety regulations.

Proven experience in managing facility-related projects, space planning, and resource allocation.

Excellent organizational and multitasking skills for handling multiple tasks and priorities effectively.

Strong communication and interpersonal skills for collaborating with internal teams, vendors, and contractors.

Proficient in facility management software (e.g., CMMS, IWMS) and Microsoft Office Suite.

Ability to develop and implement facility management policies, procedures, and best practices.

Excellent problem-solving abilities for addressing facility issues and optimizing operational efficiency.

Experience with budgeting, forecasting, and managing facility-related expenses is advantageous.

Language Requirements:

Arabic & English is a must, French is a plus.
