We are seeking a highly organized, warm, and missionally aligned Front Office Manager to support the daily operations, development efforts, and administrative functions that allow our organization and campus community to thrive.
 
About the Role:
The Front Office Manager serves as the welcoming first point of contact for Jacob’s Ladder families, visitors, staff, donors, vendors, and community partners. This person helps set the tone for every individual who calls or walks through our doors and plays an important role in ensuring that communication flows clearly, details are handled thoroughly, and daily campus needs are met with care and professionalism.
This is a multifaceted position supporting both our Operations and Development teams. The ideal candidate is dependable, proactive, detail-oriented, comfortable balancing multiple priorities, and willing to take ownership of the responsibilities entrusted to them. This individual should enjoy serving others, solving problems, following tasks through to completion, and contributing wherever needed to advance the mission of The Jacob’s Ladder Group.
 
KEY RESPONSIBILITIES:
Development and Fundraising Support:
  • Support the organization’s annual fund and broader fundraising efforts.
  • Research and identify prospective corporate sponsors, community partners, and other funding opportunities.
  • Assist with donor database entry, record maintenance, gift processing, and acknowledgment letters.
  • Coordinate the preparation and distribution of fundraising appeals, mailers, and donor communications.
  • Provide administrative and logistical support for events, tours, and community-engagement opportunities.
  • Assist with newsletters, organizational communications, and social media coordination.
  • Help maintain accurate development records and complete timely follow-up activities.
  • Provide additional administrative support to the Advancement team as needed.
Front Office and Campus Support:
  • Serve as the first point of contact for families, visitors, staff, donors, vendors, and community partners.
  • Answer incoming phone calls and manage general emails and voicemails with warmth, professionalism, and timely follow-through.
  • Greet, sign in, and direct visitors while maintaining appropriate campus safety and confidentiality procedures.
  • Support accurate and timely communication across the organization.
  • Monitor campus security camera feeds and respond appropriately to front office and campus needs.
  • Track the distribution and return of campus keys, key cards, walkie-talkies, and other assigned resources.
  • Maintain an organized, welcoming, and professional front office environment.
  • Review, prioritize, and complete day-to-day administrative tasks as assigned.
  • Help communicate school closures, schedule changes, and other important updates to families and staff.
  • Coordinate annual school calendar updates, picture days, and client birthday cards.
  • Coordinate and document monthly emergency drills.
Operations Support:
  • Assist with the coordination and tracking of campus facilities and maintenance projects.
  • Communicate with vendors and contractors regarding facilities needs, service requests, scheduling, and follow-up.
  • Help ensure facilities-related needs are communicated to the appropriate internal team members and carried through to completion.
  • Support onboarding logistics and administrative preparations for new staff.
  • Assist with scheduling and administering the IWBMC™ certification exam for staff.
  • Help organize and track risk-management, safety, and compliance-related documentation.
  • Provide administrative support for special projects and broader organizational priorities.
  • Maintain accurate records, calendars, trackers, and documentation associated with assigned responsibilities.

Schedule:
  • 8 hour shift (Full-time).

Qualifications:
  • Bachelor's degree preferred, not required; equivalent combination of education and experience will be considered.
  • Minimum 2-3 years of experience in office administration, nonprofit operations, or fundraising/development support.
  • Strong organizational and communication skills.
  • Ability to maintain confidentiality and professionalism.
  • Comfort managing multiple priorities across administrative, operations, and fundraising functions.
  • Proficiency with Microsoft Office/365; experience with donor databases or CRM platforms a plus.
  • Alignment with Jacob's Ladder's mission and core values.
