About the Department

This is a Lateral Transfer List for Coordinator III - CPPW (30003984)

Job Appointment: Full Time, Regular
Work Schedule: Monday - Friday, 8:00 AM - 5:00 PM. Alternate schedules may be available.
Work Location: Hybrid. This position reports to 6844 N, Cutter Circle, Portland, OR 97217. Remote work must be performed within Oregon or Washington. For more information, click here.

Starting Pay: The City of Portland follows the Oregon Equal Pay Act. Your salary is determined based on the experience listed in your resume that is directly related and equivalent to the position for which you are applying.


Position Summary:

The Bureau of Fleet and Facilities (BFF) is seeking a highly organized and collaborative Bureau Program Coordinator to provide critical coordination and operational support for bureau-wide initiatives that improve organizational performance and service delivery.

This position serves as the operational backbone for several high-profile programs, including administration of the City's Take Home Vehicle Policy, coordination of the citywide telematics program, strategic planning support, performance measurement, and bureau-wide administrative initiatives. The successful candidate will help ensure projects stay on schedule, performance data is accurate and meaningful, documentation is complete, and internal customers receive timely, responsive service.

What You’ll Do:

  • Coordinate the bureau's annual strategic planning process and monitor organizational goals, objectives, SuccessFactors performance measures, and service level agreement metrics.
  • Collect, validate, analyze, and report operational performance data to support leadership decision-making and continuous improvement efforts.
  • Administer the City's expanding telematics program by providing training, preparing reports, facilitating stakeholder collaboration, coordinating development and implementation of processes and standards, and responding to requests from bureaus, 311, and the Auditor's Office.
  • Manage implementation and ongoing administration of the City's Take Home Vehicle Policy, including training, vehicle assignments, annual reporting, and payroll reporting support.
  • Support the Bureau's Vision Zero initiatives by facilitating stakeholder meetings, developing fleet safety parameters, and assisting with the implementation of telematics safety technologies and user training.
  • Develop, edit, route, and maintain policies, procedures, reports, agreements, Standard Operating Procedures (SOPs), and other bureau documentation to ensure accuracy, consistency, and compliance.
  • Facilitate meetings by preparing agendas, documenting action items, tracking follow-up tasks, and supporting bureau leadership with administrative and operational initiatives.
  • Serve as a trusted resource for internal partners by responding to inquiries, coordinating requests for service, and fostering effective communication across City bureaus.

  • Passed their probationary period

The following are the knowledge, skills and abilities that the bureau has identified as critical, and your resume should include/highlight these areas:

  1. Experience providing administrative, operational, or program coordination support within a complex organization.
  2. Experience coordinating projects, tracking organizational goals, performance measures, or operational metrics using spreadsheets, databases, or other business systems.
  3. Experience developing, organizing, editing, or maintaining policies, procedures, reports, contracts, or other business documentation.
  4. Ability to manage multiple competing priorities, organize complex workloads, and meet established deadlines with a high level of accuracy.
  5. Ability to communicate effectively, build collaborative relationships, and provide excellent customer service to diverse internal stakeholders.
  6. Knowledge of standard office software and business systems, including experience using applications such as Microsoft Outlook, Excel, Word, and other electronic documentation or reporting tools.

  2. Notice/Feedback - Week of August 17, 2026: You will receive an email when the review is complete. Candidates who meet the eligibility for Lateral Transfer will be placed on the equally ranked lateral transfer eligible list.
  3. Selection Process - Early September: Your lateral transfer application will be referred to the hiring bureau for consideration. There is no guaranteed right to transfer into a vacant position.
  4. Conditional Job Offer: Final candidates may undergo a background or driving record check, depending on the position.
