New Jersey’s academic health center, Rutgers Biomedical and Health Sciences (RBHS) takes an integrated approach to educating students, providing clinical care, and conducting research, all with the goal of improving human health. Posting Summary

Rutgers, The State University of New Jersey, is seeking a Program Administrator for the Robert Wood Johnson Medical School.

Under the direction of the Senior Director of Administration in collaboration with the Division Chiefs as necessary, the Program Administrator will provide administrative support to the assigned divisions and provide necessary leadership to the department. Oversight of all operational, financial, and communications for the growth of the department, fiscal performance and operational effectiveness; including clinical and research revenue, grants, education and the management of division budgets. Responsible for planning, organizing, managing and evaluating all administrative and fiscal matters relating to the assigned unit(s)/divisions. Supervises the administrative staff of the assigned unit(s)/divisions.

Among the key duties of this position are the following:
  • Manages overall operations of the assigned divisions. Directly supervise the administrative staff assigned to the divisions, responsible for hiring, firing, and performance reviews.
  • Leads divisional physician engagement initiatives.
  • Evaluates new and existing programs, and conducts comprehensive assessment of facility requirements, faculty support, equipment purchases, office supplies, funding, and staffing. Implements systems of “Process Improvement” for all divisional, administrative, patient care, research and fiscal activities. Reports on findings to Division Chiefs and Sr. Director of Administration for action.
  • Helps operationalizing faculty schedules, projects and new program development, with the approval of the Chairman’s Office.
  • Manages the division financial office; performs analysis to identify revenue collection issues, reconciles expenses and develops business plans under the direction of the Division Chiefs, with final approval given by the Sr. Director of Administration. Works collaboratively with finance offices at RWJBH and RWJMS to effectively manage division resources, including oversight of operations budget, clinical revenue, start-up packages, grant/contract awards and other revenue streams. Acts as a steward of division/unit finances.
  • Develops administrative plans for effective utilization and development of resources for the division/unit, including financial/budgetary development, allocation and use of staff. Ensures that financial and management systems are accurately maintained.

Minimum Education and Experience

  • Bachelor’s Degree required plus four (4) years of progressively more responsible experience in the management of operational, fiscal activities and/or financial analysis, preferably in higher education/academic environment or multidisciplinary clinical environment.
  • Equivalent experience, education and/or training may be substituted for the education requirements.

Required Knowledge, Skills, and Abilities

  • Strong communication skills, organized, problem solving, multi-tasking, and leadership skills.
  • Proven ability to organize department work functions in an efficient and effective manner.
  • Demonstrated management and conflict resolution skills to effectively lead and motivate others.
  • Demonstrated knowledge of how to accomplish superior performance in a unionized environment is necessary.

Preferred Qualifications

  • Master’s degree in related field preferred.
  • Two (2) years of experience at the supervisory/managerial level preferred.
  • Proficiency with MSOffice 365 suite of products is preferred.

Physical Demands and Work Environment
