This is position is located in the Office of Data & Analytics, Richland County. 
This is an in-office role and not a telecommute or remote position.

Are you the One?  We are looking for a Program Coordinator I (Data & Analytics Program Support) in The Office of Data & Analytics which is leading the development and implementation of the agency’s data and analytics strategy by advancing accessible and responsible data use, improving data quality, and strengthening data governance practices across SCDHHS. Under general supervision from the Chief Data & Analytics Officer (CDAO), this position provides essential day to day administrative and project support to the office, enabling the team to succeed in its mission, goals, and objectives. Position serves as the office manager by maintaining supplies, preparing tickets/documentation for onboarding/off boarding and hiring, completing travel arrangements and reimbursement requests, and facilitating required procurement and shopping carts. Position coordinates meetings and prepares agendas as well as compiles agenda items, distributes meeting materials and documents minutes for assigned meetings. Position assists the CDAO in developing and maintaining documentation around team Key Performance Indicators (KPIs) and progress reporting for leadership.
  • Serve as office manager for the Office of Data & Analytics. Maintain supplies, coordinate facility needs/activities, and manage administrative logistics including hiring, onboarding/offboarding, travel arrangements/requests, vendor visits, invoicing, and documentation. Serves as the point of contact for visitors, coordinates required parking, security and IT needs. Completes all required onboarding and termination IT tickets. Collect and verify purchase requests for the Office of Data & Analytics including software, services, facilities and supplies with finance and procurement. Prepares purchase requisitions and/or shopping carts and travel expenses as needed.
  • Coordinate and support meetings for the Office of Data & Analytics, including scheduling, agenda preparation, material distribution, and minute-taking. Maintains calendar for Chief Data & Analytics Officer. Responds in a timely manner to meeting requests. Assists with facilitating meetings and organizing meeting logistics for Office of Data & Analytics: scheduling meetings, reserving meeting rooms, parking and other resources, informing security, preparing meeting agendas, and documenting assigned meetings.
  • Coordinate hiring, onboarding, and offboarding processes for Office of Data & Analytics staff, including contractors and state employees.
  • Completes calendar management, communication, meeting coordination, travel documents, and facilities or IT requests as assigned. Maintain positive relationships with internal and external stakeholders. Complete administrative tasks such as ordering supplies, managing office equipment, and coordinating with other departments.
  • Support the CDAO in developing and maintaining documentation related to team Key Performance Indicators (KPIs), progress tracking, and reporting.
  • Maintains the telecommuting policy for the Office of Data & Analytics.  Ensures proper documentation is completed, submissions of telecommuting activities are completed timely. Alerts managers/supervisors when issues arise. Maintains calendar of telecommuting and required in office meetings.
  • Attends and participates in conferences, webinars/online training and courses that build skills related to job functions.
  • Performs other duties as assigned adhering to all programs, agency, State and other related policies, procedures, privacy and timeliness standards.

Position Duties

A bachelor's degree and one (1) year of relevant program experience.  

An equivalent combination of education and experience may be considered with prior Human Resources approval.

Additional Requirements:

  • Overtime and/or weekend work with Deputy approval.
  • Sitting or standing for long periods of time.
  • Lifting requirement: 20 lbs.
  • In-office role.

Minimum Qualifications

  • Knowledge of the Medicaid agency’s mission. 
  • General knowledge of project management/coordination principles and methodologies. 
  • Ability to effectively plan and organize work activities and prioritize task completion to meet schedules and deadlines. Must be able to move efficiently between multiple tasks with a high degree of accuracy. 
  • Ability to communicate effectively, both verbally and in writing. 
  • Ability to establish and maintain effective working relationships. 
  • Ability to exercise judgment and discretion. 
  • Proficiency using Microsoft Suite, including Outlook, SharePoint, Teams and meeting scheduling best practices. Proficiency in using different tools to scribe and document meetings and team discussions.  
  • This position supports BIS/EIS APD.
