Program Coordinator, MBA Programs


Position Summary


The Eli Broad College of Business at Michigan State University seeks a dynamic Program Coordinator to join the MBA Programs team and support the operational and student success needs of the college's portfolio of MBA programs. While this position's primary responsibility is supporting the Executive MBA program at the Management Education Center (MEC) in Troy, Michigan, the Program Coordinator also collaborates with colleagues across the MBA Programs team to advance shared initiatives, ensure operational consistency, and deliver an exceptional student experience across all program formats.


Reporting to the Director of MBA Academic Services, the Program Coordinator serves as the primary on-site representative for the Executive MBA program and a key point of contact for students, faculty, prospective students, alumni, and corporate partners. The position provides day-to-day operational coordination for the Executive MBA while contributing to the broader work of the MBA Programs team through student services, academic operations, recruitment and admissions, event coordination, and program administration.


As a collaborative member of the MBA Programs team, the Program Coordinator works closely with colleagues in both Troy and East Lansing to support shared goals and ensure seamless program delivery. The position maintains a regular on-site presence at the Management Education Center, provides every-other-weekend support during Executive MBA class weekends, and serves as an operational resource across the MBA portfolio as program needs evolve.


Key Responsibilities


1. Executive MBA Program Operations & Academic Support (40%)


Serve as the primary operational lead for Executive MBA activities at the Management Education Center (MEC), ensuring the effective delivery of academic programs and day-to-day operations.


Responsibilities include:



  • Serve as the primary on-site representative for the Executive MBA program.

  • Provide every-other-weekend office coverage during Executive MBA class weekends.

  • Coordinate classroom scheduling, room reservations, catering, instructional technology, and facility operations.

  • Provide classroom technology support and troubleshoot instructional issues.

  • Manage the Executive MBA D2L environment, course materials, textbook ordering, and instructional resources.

  • Support hybrid and online course delivery.

  • Coordinate operational logistics with faculty and staff.

  • Recommend and implement process improvements that enhance program operations and the student experience.



2. Student Engagement & Program Experience (25%)


Provide exceptional service and support throughout the Executive MBA student lifecycle while fostering a welcoming, responsive, and engaging learning environment.


Responsibilities include:



  • Serve as a primary point of contact for Executive MBA students.

  • Respond to student questions and connect students with appropriate university resources.

  • Coordinate onboarding, orientation, and transition activities.

  • Support student communications and program announcements.

  • Plan and coordinate student engagement initiatives and networking opportunities.

  • Partner with faculty and staff to promote student success and retention.

  • Assist with graduation and other milestone celebrations.

  • Maintain study spaces and student support resources at the MEC.



3. Recruitment, Admissions & External Engagement (20%)


Support enrollment growth by assisting with recruitment, admissions, alumni engagement, and corporate outreach activities.


Responsibilities include:



  • Assist with MBA recruitment and admissions initiatives.

  • Host prospective student advising and information sessions.

  • Conduct outreach to prospective students and applicants.

  • Participate in recruitment events, corporate presentations, and networking opportunities.

  • Assist with admissions event planning and execution.

  • Support alumni engagement and corporate partnership activities.

  • Coordinate communications and logistics involving alumni and employer partners.



4. Event Coordination, Collaboration & Administrative Support (15%)


Coordinate program events while contributing to the overall effectiveness of MBA Programs through collaboration and administrative support.


Responsibilities include:



  • Coordinate logistics for orientations, residency weeks, competitions, graduation, networking events, and other Executive MBA programming.

  • Work collaboratively with colleagues across East Lansing and Troy to ensure consistent operations and student support.

  • Coordinate shared processes, communications, and resources across MBA program formats.

  • Maintain program records and administrative documentation.

  • Participate in committee work, special projects, and continuous improvement initiatives.

  • Perform other duties as assigned.



Minimum Requirements



  • Knowledge equivalent to that which would normally be acquired through the first two or three years in college, such as an Associate's degree in business, higher education, communications, or a related field.

  • One to three years of related and progressively more responsible experience in program coordination, student services, alumni or corporate engagement, or event planning.

  • Or an equivalent combination of education and experience.

  • Proficiency with Microsoft Office and comfort working with university systems and instructional technologies.

  • Ability to work independently while collaborating as part of a high-functioning team.


Desired Qualifications



  • Bachelor's Degree in business, higher education, communications or related field.

  • Experience in higher education or a professional school setting, particularly in student services, academic programs, or event coordination.

  • Project management experience, in particular involving teammates in multiple, separate locations

  • Experience with educational technology platforms, with knowledge of available AI tools.

  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.

  • Strong interpersonal, written, and verbal communication skills.
