Compensation & Schedule
Pay Rate: $23.00-$25.00 per hour
Schedule: 36.25 hours per week
Location: Hoffman Estates, IL
Work Arrangement:
- This position is fully in-person during the first 90 days to support onboarding, training, and relationship building.
- Following successful completion of the introductory period, employees may be eligible for one of the following flexible work arrangements:
- One remote workday per week, or
- A four-day workweek schedule, based on business needs and departmental approval.

Position Overview
The Program Coordinator provides administrative, operational, and project coordination support to the Director of Program and the Adult Rehabilitation Center Program Department. This position serves as a key contributor to program success by supporting volunteer management, community partnerships, events, departmental communications, compliance tracking, and document management.
This is an excellent opportunity for a proactive professional who enjoys balancing multiple priorities, working independently, and supporting meaningful programs that make a difference in communities across the Central Territory.
What You'll Do
Administrative & Program Support
- Provide high-level administrative support to the Director of Program and Program Department.
- Coordinate schedules, calendars, meetings, correspondence, and department communications.
- Maintain and organize program policies, manuals, forms, and guidance materials.
- Attend meetings, trainings, and conferences while capturing detailed notes and action items.
- Monitor project timelines and follow up on deliverables to help ensure department goals are achieved.
- Assist with KPI tracking, reporting, and program performance initiatives.
- Support documentation requests related to legal, community partner, and former beneficiary inquiries.
Volunteer Program Coordination
- Support volunteer onboarding processes across ARC locations.
- Track volunteer applications, background checks, Safe From Harm training, approvals, and compliance documentation.
- Maintain volunteer role descriptions and program resources.
- Monitor volunteer participation, hours, and impact metrics.
- Share recruitment resources and best practices with local centers.
Community Partnerships & Contract Administration
- Assist with drafting, tracking, and maintaining partnership agreements, contracts, and Memorandums of Understanding (MOUs).
- Manage contract records, deadlines, renewals, and reporting requirements.
- Coordinate approval and signature processes while ensuring documentation remains current and organized.
Event & Conference Support
- Help coordinate major Program Department events, including:
- ARC Program Conference
- Alumni Retreats
- Alumni Banquets
- DRS Trainings and Professional Development Events
- Assist with event registration, travel arrangements, meeting materials, and presentations.
- Support on-site event logistics and post-event documentation.
Document Management & Communication
- Maintain confidential digital filing systems and records.
- Develop and distribute standardized forms, templates, and training materials.
- Track required center submissions and ensure timely follow-up.
- Serve as a liaison between the Program Department and ARC centers.
- Prepare agendas, meeting materials, updates, and internal communications.
What We're Looking For
Required Qualifications
- Bachelor's degree preferred, or equivalent combination of education and experience.
- Minimum of four years of administrative, program support, project coordination, or related experience.
- Experience working in a fast-paced, deadline-driven environment.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite, Microsoft Teams, and database management systems.
- Demonstrated ability to handle confidential information with professionalism and discretion.
Preferred Qualifications
- Experience supporting volunteer programs.
- Experience with nonprofit organizations, social services, behavioral health, or community-based programs.
- Familiarity with contracts, partnership agreements, or grant administration.
