About the Department

Position Duties

This is a senior-level administrative support position responsible for coordinating and assisting in planning, organizing, and performing a wide variety of advanced administrative and program support functions. Responsible for coordinating and participating in the administrative functions supporting assigned programs, including planning, evaluating, implementing, and monitoring progress towards the realization of program goals and objectives. Responsible for reviewing and revising program procedures to increase efficiency and effectiveness and providing customer service and support to program-related contacts. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.  Reports to the Director of International Programs

QUALIFICATIONS
Bachelor’s degree is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.

One year of related experience is required. Clerical, administrative support, customer service, higher education, or related office experience is preferred. Experience with social media, event planning, and/or outreach activities is preferred.

ESSENTIAL JOB FUNCTIONS

  1. Coordinates administrative activities that support international admissions, study abroad, and other assigned programs.
  2. Assists students, faculty, staff, and visitors by providing accurate information regarding departmental services, procedures, and deadlines.
  3. Processes applications, forms, correspondence, and other documents in accordance with established university procedures.
  4. Coordinates and expands the Office of International Programs social media presence by creating content, monitoring activity, responding to inquiries, analyzing engagement metrics, and promoting departmental programs, events, and services in accordance with university branding standards.
  5. Coordinates meetings, orientations, workshops, and special events by scheduling facilities, preparing materials, and communicating with participants to support culturally and socially significant programs designed to increase stakeholder and community engagement.
  6. Maintains accurate electronic and paper records, databases, and filing systems, including international student data maintained in the US Department of Homeland Security Student and Exchange Visitor Information System (SEVIS) system and other university information systems as assigned.
  7. Serves as point-of-contact for international student and study abroad student health insurance enrollments, waivers, benefits communication, and payment processes.
  8. Monitors assigned processes to help ensure required documentation is complete and deadlines are met.
  9. Works cooperatively with university departments and external partners to facilitate efficient delivery of international program services.

NON-ESSENTIAL JOB FUNCTIONS
  1. May assist with reception, telephone coverage, and general office operations.
  2. May provide guidance and routine assistance to student workers and temporary employees.
  3. May participate in departmental meetings, training opportunities, and university events.
  4. May perform special projects as assigned.
  5. Performs other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  7. Skill in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  8. Skill in completing assignments accurately and with attention to detail.
  9. Ability to accurately prepare and maintain records, files, and reports.
  10. Ability to communicate and interact effectively with members of the public.
  11. Ability to work collaboratively and build strategic relations with colleagues, coworkers, constituents, and volunteers.
  12. Ability to work successfully as a member of a team and independently with moderate supervision.
  13. Ability to learn office and university-specific software.
  14. Ability to set priorities and complete assignments on time.
  15. Ability to obtain a Texas driver's license, SFA permit, and van certification prior to employment.
  16. Ability to process and handle confidential information with discretion.
  17. Ability to plan, implement, and evaluate programs.

This position is eligible for participation in the Teacher Retirement System of Texas (TRS) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
