Job Summary

An Integrated Workplace Management System (IWMS) is a single platform for real estate and facility management that unifies functionality for the management of real estate, space planning, asset and maintenance, integrated services, safety, security, and sustainability.  As an IWMS administrator at NetApp, you are responsible for the management and administration of our Planon IWMS modules: Space planning/ Desk reservation / Room reservation; Asset Management and Maintenance (AMM)

You will manage the Planon IWMS system in totality which is not limited to the following areas of responsibility:

•    Space planning / desk reservation module

•    Configurations, Settings, Layouts (Test, cadence of changes)

•    Real Estate Portfolio adds, updates and changes to maintain portfolio integrity within the tool

•    AutoCAD file downloads, and imports to maintain master file integrity

•    Liaison between Space Planning Team and AutoCAD technician

•    Ensure space and data standards are maintained

•    Provide recurring and ad-hoc reports to end-users, occupancy planning and strategy staff

•    Asset Management and maintenance AMM

•    Responsible for the operation; accuracy and implementation of the computerized maintenance system for the assigned facilities.

•    Provide workflow development and configuration, routinely monitor data transfers to and from the asset and maintenance modules 

•    Develop global procedures and ensures compliance for all asset management and maintenance operations aspects of the tool.

•    All modules: Access management, Authorizations / User groups, Alerts/ Notifications

•    Act as the liaison for problem solving and/or escalation with both staff and software vendors on both the core system and its interfaces. Initiates service requests for software modifications.

•    Routinely monitors transfer of data between software systems through interface programs and troubleshoots systems and user errors. Work with IT and users to resolve errors

•    Review monthly release notes to identify when to upgrade, coordinate with all relevant teams to perform upgrade

•    Backups/ Restores / Upgrades / Hot fixes: Testing and Integration checks

Improve reporting efficiency, assist in generating reports documentation concerning the functional use of facilities

•    End-user training

•    Maintain the content on the WPR Shared Desk Reservations Landing page

•    Manage contract negotiations and relationships with IWMS vendor. Manage and optimize the

•    IWMS system within the allocated budget.

•    Participate in cross-functional teams to understand organizational needs and develop plans to address those needs.

•    Determine, present, and gain approval from one or more senior managers, on the scope and priority of current and future projects.

•    Make recommendations, present solutions, and assist with the development and management of such implementations.

•    Keep senior management informed of key issues and changes which may impact expected business results.

•    Ensure that projects adhere to the company processes and initiate process improvements as needed.

•    A minimum of 8 years experience in managing IWMS or CMMS databases is required. Experience with (Planon) IWMS system is a preference.

•    Proficient AutoCAD experience is essential 

•    Understanding of Facilities, Real Estate and Asset management industry and practices in the areas of space planning, occupancy, and allocation management

•    Demonstrated ability to manage multiple projects is required.

•    Excellent written and verbal communication skills in English

•    Ability to respond to changing priorities and meet deadlines.

•    Ability to communicate with employees in other departments concerning processes and timelines

•    Ability to learn and adhere to departmental processes and standard procedures; this includes balancing and ensuring compliance to corporate processes and policies

•    Expert ability in computer applications such as MS Excel, Project, Visio, and Word.

•    Attention to detail and follow-through is essential.

•    Ability to maintain records accurately and prepare reports and correspondence related to the work.

•    Availability to work across international time zones as required.

Education

IC - Typically requires a minimum of 12 years of related experience.Mgr & Exec - Typically requires a minimum of 8 years of related experience.
