Employment Type: Full-Time, Non-Exempt
Location: Cherry Hill, NJ
Pay: $18.00-$21.00 per hour
Reports To: Program Supervisor
Department: Transitions/Homebound Services


Position Summary

The Program Operations Coordinator supports the daily operations of the Transitions and Homebound Services programs. This role serves as a central point of coordination for students, families, school district partners, and internal staff by managing administrative processes, scheduling, communication, documentation, and program support activities.

The coordinator helps ensure timely service delivery, accurate recordkeeping, and effective communication throughout the referral, onboarding, and service process.


Essential Duties and Responsibilities


Program Administration

  • Coordinate daily administrative operations for Transitions and Homebound programs.
  • Maintain student records, attendance, documentation, and program files.
  • Enter and update information within internal systems.
  • Prepare reports, spreadsheets, and program-related documentation.
  • Maintain inventory of office and program supplies.
  • Support program events and special projects as assigned.

District and Family Support

  • Serve as an administrative point of contact for school districts, families, and referral sources.
  • Coordinate referral intake and onboarding activities.
  • Facilitate communication between districts, instructional staff, clinicians, and program leadership.
  • Ensure required documentation is completed accurately and within established timelines.
  • Respond to inquiries from families and district representatives in a professional and timely manner.

Scheduling and Coordination

  • Coordinate homebound instructional schedules.
  • Assist with staff scheduling based on availability and student needs.
  • Schedule meetings, intake appointments, and program reviews.
  • Monitor service requests and required documentation.
  • Track timelines and follow up on outstanding items.

Administrative Support

  • Answer incoming calls and assist visitors.
  • Provide scheduling and administrative support to the Program Supervisor.
  • Prepare correspondence, meeting materials, and internal communications.
  • Assist with monthly reporting and billing preparation.
  • Maintain organized and professional office spaces.

Collaboration

  • Work collaboratively with Finance, Human Resources, Business Development, Clinical Leadership, and Educational teams.
  • Maintain positive relationships with school district partners and community organizations.
  • Support a collaborative and professional team environment.
  • Assist with additional duties as assigned.


Qualifications


Education

  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree in Education, Human Services, Business Administration, Healthcare Administration, or a related field preferred.

Experience

  • Two to four years of administrative, program coordination, education, healthcare, or related experience preferred.
  • Experience working within educational, behavioral health, healthcare, or human services settings preferred.
  • Demonstrated ability to manage multiple priorities and deadlines.
