Job description

Job Responsibilities

Summary:

Under the direct supervision of the Program Director, will perform clerical, secretarial duties, data entry, bookkeeping and administrative responsibilities for the Weatherization Program.

Essential Duties and Responsibilities include the following. (Other duties may be assigned.)

Typing, filing and other clerical duties as assigned by the supervisor.

Bookkeeping and record keeping duties as assigned by the supervisor.

Maintain confidentiality in all program operations.

Act as receptionist in a polite and courteous manner for the Weatherization Program.

Copy, scan, file and or submit to the Weatherization Director needed information, when required.

Assist the Program Director when required in other tasks necessary to achieve program operations.

Responsible for accounts payable in the Weatherization department.

Insuring complete confidentiality on checks.

Locates, prepares and sorts source documents, and identifies and interprets data to be entered into ECOS audit software such as client’s utility bills, application information, clients billing account numbers for utility’s and configure energy burden and energy consumption from client’s utility bills to be entered into ECOS.

Contacts clients and prepares source documents to resolve questions, inconsistencies, or missing data.

Enters data from source documents into computer following format displayed on screen and enters necessary documentation.

Compares data entered with source documents for accuracy.

Makes necessary corrections to information entered in ECOS Audit Software required by DOE.

Must be fluent in basic office software and programs, including but not limited to: Microsoft Operating Systems, Microsoft Office Word and Excel, basic email functionality.

Will enter data in ECOS Auditing Software.

Will perform routine data entry when prompted.

Generates data reports and reviews for accuracy.

Reviews error reports and enters corrections into the computer.

Reviews reports with appropriate manager or program staff, discussing concerns about data.

Files or routes source documents after entry.

Responds to inquiries regarding entered data and reports.

Participate in cross-training initiatives for various roles to promote a well-rounded understanding of departmental functions.

Qualifications

Education and/or Experience: Associate degree (AA) or equivalent; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Language skills: Ability to read and comprehend simple instructions, short correspondence, and memos, ability to write routine reports and correspondence.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, decimals, and percentages.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form, ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills & Technology: To perform this job successfully, an individual should be willing to advance computer skills as needed for the job. Must be fluent in basic office software and programs, including but not limited to: Microsoft Operating Systems, Microsoft Office Word and Excel, basic email functionality and data entry software.

Other Skills and Abilities: Must demonstrate the ability to work under pressure and deal with difficult clients with diplomacy and tact.

Training & Safety Culture: Flexibility to attend evening greetings or training as needed; willingness to travel for training and conferences. Completion of all required training is mandatory. Employees must consistently adhere to and support the organization’s culture of safety by following safety policies, participating in safety-related training, and contributing to a safe work environment.
