Job description

The project provides expertise in logistics strategy and policy, supply chain, and asset management for the Department of War (DoW). The team supports the full lifecycle of defense-wide logistics policies, monitoring sustainment programs, and improving the visibility, accountability, and auditability of critical defense assets. This project focuses on the comprehensive modernization, systematic tracking, and cross-functional synchronization of all active logistics policies, instructions, and directives maintained by the office. By implementing rigorous administrative controls and proactive stakeholder coordination, this effort ensures all logistics guidance remains accurate, legally compliant, and aligned with modern warfighting requirements.

The Policy Coordinator serves as the central administrative hub and operational manager for the office’s policy portfolio, which encompasses more than 90+ active policy issuances. The Coordinator executes end-to-end management of the policy lifecycle including drafting, cross-functional routing, stakeholder adjudication, formal editing, and final publication.

This role requires exceptional organizational skills, deep familiarity with DoW policy drafting standards, and the ability to diplomatically drive progress across multiple external and internal offices.

Key Responsibilities

  • Oversee the administrative pipeline for 90+ active issuances, ensuring no policies exceed their review or expiration thresholds.
  • Maintain the office's master tracker (milestones, routing status, and edit histories) with absolute accuracy.
  • Establish and enforce rigorous standard operating procedures (SOPs) for the receipt, intake, and systematic filing of edits and revisions.
  • Perform rigorous quality-assurance reviews on policy packages, validating compliance with DoW formatting, style guides, and structural templates.
  • Edit technical inputs from various SMEs to ensure cohesive, plain-language policy statements.
  • Prepare executive summaries, routing sheets, and formal action memos for senior DoW leadership.

Desired Expertise and Competencies

  • DoW Policy Expertise: Minimum of 2 years of direct experience drafting, routing, or coordinating official policies, instructions, or directives within a defense or military department.
  • Advanced Organizational Skills: Proven ability to manage a high-volume portfolio of 50+ concurrent tasks or documents without sacrificing attention to detail.
  • Stakeholder Facilitation: Strong interpersonal and communication skills; highly comfortable collaborating with action officers, legal counsels, and senior executives across diverse teams.
  • Software & Tool Proficiency: Advanced proficiency in Microsoft Office Suite (specifically Word/Excel for tracking and advanced document styling) and enterprise collaboration environments (e.g., SharePoint).

Required Skills & Experience

  • Bachelor's Degree plus 2+ years' experience
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future
  • Must be willing to go on-site in Alexandria, VA up to 5 days a week
  • Secret Clearance Required

Preferred Skills & Experience

  • 2+ years experience with professional editing, policy writing, or executive-level communications within a defense, military, or federal government environment.
  • Strong DoW background, familiarity with how senior levels of the OSW Staff operate.
  • Correspondence and Task Management System (CATMS) experience
  • Coordinating cross-functional working groups to resolve conflicting stakeholder feedback on policies
