1. Maintain document control registers/logs for tracking project documents, correspondence, drawings, RFIs, submittals, and transmittals.
2. Ensure proper documentation numbering, classification, sorting, filing, and retrieval in physical or electronic formats.
3. Distribute documents to relevant stakeholders ensuring the latest versions are used.
4. Maintain version control and ensure obsolete documents are removed from circulation.
5. Work closely with project teams, consultants, subcontractors, and clients to ensure timely document exchange.
6. Support the implementation and compliance with document control procedures and policies.
7. Assist with regular audits to ensure document integrity and accuracy.
8. Train staff on document control systems and procedures if needed.
9. Ensure confidentiality and security of sensitive information.
10. To help with the issue of EI, prepare the documents and arrange for the signing of the documents.
1. Proven experience as a Document Controller or similar role, preferably in construction, engineering, or technical industries.
2. Familiarity with project documentation such as drawings, technical specifications, contracts, etc.
3. Proficiency in document control software (e.g., Aconex, Procore, EDMS, SharePoint) and MS Office Suite.
4. Excellent organizational and time management skills.
5. Strong attention to detail and accuracy.
6. Good written and verbal communication skills.
7. Ability to work independently and as part of a team.
8. Excellent oral and written communication skills in English, preferably Mandarin
