Executive Assistant to the CEO

Description

You'll be responsible for ensuring the CEO's time is spent on the highest-value priorities by anticipating needs, removing obstacles, managing countless moving pieces, and keeping both business and personal commitments running seamlessly. Success in this role requires exceptional judgment, relentless organization, outstanding attention to detail, and a natural instinct to stay several steps ahead.

What You'll Do

  • Own and optimize the CEO's calendar, ensuring time is allocated to the highest-impact priorities while proactively managing competing demands and last-minute changes.
  • Act as the primary gatekeeper for the CEO's time, making thoughtful decisions about scheduling and priorities with minimal direction.
  • Coordinate domestic and international travel, including detailed itineraries, logistics, accommodations, transportation, and expense reporting.
  • Plan and execute logistics for executive meetings, offsites, and company events, ensuring every detail is accurate, confirmed, and flawlessly executed.
  • Prepare meeting briefs, agendas, and supporting materials so the CEO arrives informed, prepared, and focused.
  • Anticipate business and personal needs before they arise, reducing friction and helping the CEO stay focused on strategic priorities.
  • Handle select personal responsibilities with exceptional discretion and confidentiality.
  • Independently research issues, gather information, solve operational challenges, and present well-reasoned recommendations when executive input is needed.
  • Communicate professionally with executives, board members, customers, vendors, and external partners while representing the CEO and Flooret with polish and professionalism.
  • Drive follow-through by ensuring decisions are documented, owners are identified, and nothing falls through the cracks.
  • Serve as the first point of contact for many executive communications, ensuring timely, thoughtful, and polished responses.


What We're Looking For

  • 3–5 years of experience supporting a CEO or other senior executive in a high-growth, fast-paced environment.
  • Proven ability to work independently, exercise sound judgment, and solve problems without constant oversight.
  • Strong decision-making skills with excellent instincts for when to act independently and when to escalate.
  • Experience using modern technology, productivity tools, and AI to improve workflows, automate repetitive tasks, and increase efficiency.
  • Exceptional organizational skills with the ability to juggle multiple competing priorities while maintaining accuracy and attention to detail.
  • Strong written and verbal communication skills with a polished, professional presence.
  • Outstanding discretion and integrity when handling confidential business and personal information.
  • A proactive mindset with a genuine desire to make the lives of others easier.
  • Comfortable operating in an environment where priorities shift quickly and no two days look the same.
