Job description

Role: Executive Assistant & Team Coordinator

Location: Murarrie, Brisbane, QLD

Employment Type: Full-time, Permanent

 

 

Support a newly established executive team and help shape the future of Goodstart's First Nations Directorate.

 

If you're an experienced Executive Assistant who enjoys bringing structure to complexity, improving processes and working alongside inspiring leaders, this is an opportunity to make a genuine impact.

 

Supporting our Chief First Nations Officer and the First Nations Directorate, you'll play an integral role in establishing the team's ways of working, strengthening operational foundations and coordinating initiatives that support Goodstart's Reconciliation commitments. As the Directorate continues to grow, you'll have the unique opportunity to help shape how the team operates while contributing to meaningful work that positively impacts children, families and communities.

 

This is much more than traditional executive support. Working closely with our Chief First Nations Officer, you'll partner with senior leaders, improve systems and processes, coordinate strategic priorities and become a trusted member of a collaborative and purpose-driven team. Your Impact

You'll provide high-level executive and team coordination support across a broad range of activities, including:

 

  • Supporting the Chief First Nations Officer with complex diary management, travel, meeting coordination and executive priorities.
  • Coordinating meetings, preparing agendas, taking minutes and tracking actions.
  • Embed, document and continuously improve team processes, systems and ways of working to support the ongoing growth of the First Nations Directorate.
  • Coordinate projects and strategic initiatives by tracking deliverables, preparing documentation, coordinating meetings and supporting reporting.
  • Coordinate complex domestic travel, accommodation, itineraries and logistics for the Chief First Nations Officer and broader team.
  • Assisting with financial administration including purchase orders, invoices and budget tracking.
  • Build strong, professional relationships with internal stakeholders, external partners and community organisations while ensuring culturally respectful interactions.
  • Supporting the planning and coordination of cultural events, community engagement activities and key First Nations calendar events.

What You'll Bring

  • Previous experience supporting senior executives in an Executive Assistant, Personal Assistant or Team Coordinator capacity.
  • A genuine commitment to Reconciliation and the ability to work respectfully with Aboriginal and Torres Strait Islander peoples, communities and partners, together with an understanding of, or willingness to deepen your knowledge of, Aboriginal and Torres Strait Islander cultures and histories.
  • Exceptional organisational and time management skills, with the ability to confidently manage competing priorities.
  • Experience coordinating meetings, travel, events and broader administrative processes.
  • Experience managing invoices, purchase orders and financial administration.
  • Excellent written and verbal communication skills, with the ability to build trusted relationships across a diverse range of stakeholders.
  • Experience improving administrative processes, identifying efficiencies and implementing new ways of working.
  • High attention to detail, sound judgement and the ability to maintain confidentiality.
  • Confidence using Microsoft Office, Teams and SharePoint or similar document management systems.
  • Experience coordinating projects, governance activities or executive reporting will be highly regarded.
  • Experience working within a First Nations, education, community services, government or not-for-profit environment will be highly regarded.
