About the role
The Program Support Specialist plays a vital role within our professional services organization, providing essential support to ensure the efficient operation and management of various client programs. These programs support government agencies, contractors and subcontractors in national security contexts.
This position requires a detail-oriented and organized professional who can handle multiple administrative and operational tasks to facilitate the smooth delivery of services. The ideal candidate will work closely with senior leaders, program managers, client organization officials, and other stakeholders to coordinate activities, track progress, and ensure compliance with regulatory standards.
Responsible for managing documentation, assisting in budget monitoring, preparing reports, and supporting communication efforts to maintain efficiency and accountability. This role demands strong analytical skills, proficiency in various office software tools, and an ability to adapt in a dynamic work environment. Ultimately, the Program Support Specialist contributes significantly to the success of key initiatives by providing comprehensive support that enhances program effectiveness and fosters trust across the client enterprise.
Please Note:
- Remote / hybrid work location. Onsite work may be required weekly; specific locations include Los Alamos National Laboratory in Los Alamos, New Mexico.
- Part-Time position; 20-30 hours weekly.
What You Will Do
Provide Director-level Business Operations support, including but not limited to the following:
- Resource management, including monitoring program progress and identifying areas for improvement or required interventions.
- Expense management, including assisting in the preparation and monitoring of program budgets and financial reports.
- Workflow Authority management, including adherence to regulatory and policy requirements in all program-related activities.
- Information logistics, including facilitating communication between program teams, government officials, client organizations and external partners. Support the preparation of reports, presentations, and official communications for stakeholders.
- Additional areas of Program Operations support:
- Coordinate and manage administrative tasks to support government contracts and associated program operations.
- Maintain accurate records and documentation related to program activities and compliance.
- Organize meetings, workshops, and events to promote program objectives and stakeholder engagement.
Qualifications
- Bachelor’s degree in public administration, business, or a related field preferred.
- 10-12 years of overall experience, including 6-8 years of business operations experience supporting client organizations within the US Department of Energy; specific experience supporting programs at national laboratories is highly preferred.
- Active Q security clearance under the US Department of Energy (DOE). (Please note: US citizenship is also therefore required).
- Prior experience managing or supporting information logistics in designated Limited Areas for clients in government, national security, and/or national laboratories (DOE).
- Ability to interpret and apply government policies, regulations, and procedures accurately, within the correct contexts and in a timely manner.
- Excellent written and verbal communication skills for effective stakeholder interaction.
- Proficiency in Microsoft Office Suite.
- Strong organizational and multitasking abilities with keen attention to detail.
- Strong problem-solving skills and the ability to work independently and as part of a team.
- High level of integrity and commitment to maintaining confidentiality and ethical standards.
